With 12 sites across the UK, encompassing Office, Manufacturing and Warehouse facilities, Zenith Hygiene Group PLC has a lot of servicing and maintenance records to manage.
Assent’s Facility Assist has helped Zenith strengthen its facility management and maintain central records through a programme of audits, data capture and reporting.
As part of Zenith’s existing Health & Safety Audit Programme, delivered by Assent, planned site visits were extended to incorporate a review of over 50 record types, at minimal cost and impact to the business.
Our Auditors sorted through paperwork and digital records to produce an accurate picture of each depot’s compliance with legal requirements such as LOLER and PUWER; and best practice in general.
The final report presented to management highlighted missing records which could be obtained from relevant contractors.
Record Capture & Management
With a diverse range of plant and machinery including Forklift and Pallet Trucks, Waste Compactors, Wrappers, Hoists; and Building Services including Electrical Wiring, Gas Boilers, Air Conditioning and Portable Appliances; it requires keen organisation skills to keep things in order.
Facility Assist used mobile scanning technology to capture many of the paper records, service sheets and notes left by contractors; while advising an On-Site Facility Folder is maintained by the depot for their own records.
The digital scans were uploaded to our cloud system allowing depot managers and the head office to access a copy of a record at any time.
Monitoring, Reminders & Reporting
With an audit completed, the expiry dates of each record are put into the Facility Assist Service Desk, triggering automatic reminders for our staff to ensure servicing is up-to-date and handling any issues that might occur.
Depot and Senior Managers can also utilise our Service Desk to obtain scanned copies of records or run reports per depot, or across the group.
